Candidate Profile

The Leader Assistant (“LA”) provides support to the Calgary Leadership Team of RJC and serves as the primary point of contact on all matters pertaining to the Leadership Team.

Specific Accountabilities

  • Leadership
  • Take an active role in promoting a corporate and Calgary office culture that encompasses the highest ethical standards and is aligned with the RJC’s core values.
  • Ability to handle highly confidential and sensitive information.

 

Leadership Team Support

  • Provide administrative support to the Leadership Team including calendar management and scheduling, travel requirements, report preparation, and conferences and speaking engagement arrangements.
  • Documenting project meetings and deliverables.
  • Tracking project deliverables and resources using software tools and input from the project team.
  • Supporting technical staff in delivering projects including word processing, coordination of deadlines, and meeting summaries
  • Working with Account Payables/Receivables.
  • Liaise with Project Administrators to cohesively support the broader team
  • Prepare and maintain annual Leadership Team Calendar.
  • Complete internal and external correspondence as directed.
  • Compose, edit, proofread and produce word processing documents including letters, reports, business plans and other miscellaneous correspondence. Develop templates for common documents based on corporate standards.
  • Take minutes at meetings and distribute as appropriate.
  • Coordinate meetings such as strategic planning sessions and operational meetings as well as leadership meetings with third parties.
  • Ability to be flexible with timing of support.

 

Professional Qualifications/Requirements

EDUATION & EXPERIENCE

  • Degree or Diploma in Administration, Communications, or related field
  • Minimum of two years experience supporting a leadership position – new grads encouraged to apply!
  • Experience working with Senior Management and other leadership and management members in a corporate environment
  • Advanced technical proficiency with Microsoft Office Suite (e.g. Excel, Word, Visio, PowerPoint, Outlook)
  • Experience with Microsoft Dynamics CRM, Concur and Newforma is an asset
  • Social media experience an asset
