Salary Range: 48,000 – 55,000
Candidate Profile
The Receptionist/Administrative Assistant provides support to the Vancouver office. In our fast-paced work environment, you will be responsible for carrying out a variety of tasks that are important to the operation and administration of the organization.
Key Responsibilities
Duties include, but are not limited to:
- Attend in coming calls, using Teams to transfer inquires to the appropriate department
- Handle daily mail/courier packages
- Book and manage boardrooms; set up events and ensure tidiness and clean-up
- Prepare and ordering supplies for general inventory
- Creating and formatting schedules, letters, reports, proposals, specifications, certificates of insurances, and data entry
- Creating proposal and project numbers in our project management software
- Maintain stationary stock at various stations throughout office
- Perform scanning, photocopying, binding, laminating tasks
- Perform accurate daily filing and interpret documents to keep filing up to date
- Daily maintenance of kitchen areas: replenish supplies, general cleanliness
- Provide back up to the other administrative staff
- Other tasks as required
Professional Qualifications
Education:
- Minimum completion of High School Diploma; Post-Secondary certificate/diploma from an administrative assistant program is considered an asset
Experience:
- 1 to 2 years of related experience
- Familiarity with the professional services environment would be an asset
Skills:
- Intermediate to advanced level skills with Microsoft Word, Excel, PowerPoint, and Adobe Acrobat. A general aptitude for computer usage.
- Working knowledge of database management
- Customer service oriented with exceptional phone and email etiquette
- Fast learner with a desire to grow professionally and personally
- Team player with ability to work independently and with minimum direction
- Demonstrated effective verbal and written communication skills
- Focused attention on detail and accuracy
- Ability to prioritize, multi-task, and stay focused
